Transpoco Customer Stories: Walkaround Checks

As Autumn moves towards Winter, many fleet professionals are thinking about ways to increase the safety of their fleet. For many companies, vehicle walkaround checks are a frontline tool for keeping vehicles safe.

We recently sat down with some of our Walkaround Check customers to learn more about how they use the feature and its impact. Read on to hear insights from BT Ireland, Inland Fisheries, Uniquely and Uisce Éireann.

BT Ireland: From “policy on paper” to practiced routine

Leo Hennessy, BT Ireland

Head of Field Operations
BT Ireland

Fleet context: ~80+ field vehicles, weekly check expectation across the team.

Before Transpoco: A daily walkaround was required in the driver handbook—but there was no mechanism to document this or to capture defects.

After Transpoco:

  • Drivers complete weekly app checks; defects route to the fleet team.

  • Managers use scheduled reports to spot gaps and follow up.

  • Visibility reinforces driver accountability (“my report is seen and acted on”).

  • Anecdotally, fewer “dings and scratches” since implementing.

In Leo’s words:

| “This was a tech solution to a workflow that existed—but wasn’t being followed. Now defects are flagged quickly, and drivers know their input is valued and acted upon.”

Adoption reality: Champions emerged quickly, some needed nudging. Leadership follow-through mattered most.

Inland Fisheries Ireland: Safety you can demonstrate

Michael Cusack, Inland Fisheries Ireland

Field Services Manager
Inland Fisheries Ireland

Fleet context: 200+ vehicles, public sector, robust H&S culture.

Why checks matter here:

  • Ability to prove vehicles are safe before the first journey of the day.
  • Alignment with RSA guidance and health & safety expectations.
  • Clear, auditable records across the entire fleet.
How they run it:
  • Checks are embedded in driver induction so everyone understands why they matter.
  • Defects flow straight into the maintenance process (admins and service partners react quickly).
  • Benchmarking and quarterly reviews have lifted compliance.
Michael’s take:

| “Primarily, this is about safety. The real value is being able to demonstrate vehicles are roadworthy before leaving. The app is user-friendly, and we’ve tailored the checklist—odometer capture, trailer questions—to support our policies.”

Uniquely: Make the simple things habitual

Fleet philosophy:
Do the simple things right—every day. Use checks to create safety habits and head off breakdowns.

What they do:

  • Combine regular walkaround checks with a special Monday under-the-bonnet check.

  • Barry monitors the Walkaround Checks dashboard early in the week, follows up with non-compliance via in-app messages/texts.

  • Drivers are coached that logging a defect tracks it; but they still need to act (e.g., escalate internally or to the leasing partner).

Why it works:

  • Clear expectations from day one (induction).

  • Consistent follow-up builds culture and accountability—even with team turnover.

  • Helps prevent “Friday-evening breakdowns” by catching issues when warning lights first appear.

Barry’s words:

| “We’re not expecting the guys to be mechanics — just open your eyes and look at your vehicle. If there’s a defect, log it and take action. That routine prevents accidents and needless downtime.”

Uisce Éireann: One app for mixed fleets and periodic audits

Challenge:
Multiple vehicle categories, including externally sourced/hired units, plus a requirement for periodic fleet quality audits.

Ken’s summary:

| “The Transpoco driver app lets us tailor walkaround checks to our specific needs across LCVs, HGVs, and externally sourced vehicles. The dynamic configuration also enables us to run periodic fleet quality audits as required.”

Outcome: A single, configurable workflow covers day-to-day safety checks and formal audit activity—no parallel systems, no confusion.
